What we collect, and what we do with it.

Who we are

Reticulum Systems LLC is an AI automation consultancy in Jacksonville, Florida. We build and run automations for businesses, including the website you are on now. When we say “we” on this page, we mean Reticulum Systems LLC. You can reach us at info@reticulumsystems.com.

What we collect

We collect information in three ways.

• What you give us. When you fill in a form, email us, book a call, or text us, we keep what you sent: your name, company, email address, phone number, and the message itself.
• What your browser sends. Our servers record the pages you visit, the time, your IP address, and your browser type. We use this to keep the site running and to see which pages people read. We do not run advertising trackers.
• What we exchange with you afterwards. If we work together, we keep the emails, texts, call notes, and documents from that work for as long as the engagement and our records require.

Cookies and tracking

The site uses only the cookies it needs to work: a session marker so the intro animation plays once per visit, and the security cookies our hosting provider sets to protect the site. We do not use advertising cookies, cross-site trackers, or social media pixels. If we add analytics, it will be a privacy-respecting tool that does not identify you, and this section will say so. Your browser lets you block or delete cookies at any time; the site still works without them.

How we use it

• To answer you when you reach out, and to schedule a call.
• To do the work you hired us for and to invoice for it.
• To send you follow-ups you agreed to receive, and to stop when you tell us to.
• To keep the site secure and to fix it when something breaks.
• To meet legal, tax, and accounting obligations.

We do not sell personal information. We never have.

Text messaging

We ask for two separate permissions, and you can give either, both, or neither. Neither box is pre-ticked, and neither is required to contact us or to work with us.

• Service texts about your request. If you tick the first box, we may text you about your inquiry, appointments, and service updates. These are informational messages, some of them sent by an automated system.
• Promotional texts. Only if you tick the second, separate box, we may occasionally text you offers. We never treat a service-text consent as permission for promotions.

• Consent is not a condition of purchase. You can work with us without ever agreeing to texts.
• Message frequency varies. A typical exchange is a handful of messages around a request or an appointment.
• Message and data rates may apply according to your carrier plan.
• Reply STOP to opt out at any time. You will get one confirmation text and then nothing further. Reply HELP for help, or email info@reticulumsystems.com.
• SMS consent and the phone numbers collected for texting are not shared with third parties or affiliates for marketing purposes. We share them only with the service providers that deliver our messages, as described below, and only so they can deliver them. The full messaging terms are in our terms and conditions.

Who we share it with

We use a small number of service providers to run our business. They process information on our behalf and under our instructions, and they may not use it for their own purposes.

• Website hosting and delivery (Vercel and Cloudflare).
• Email delivery and our contact and messaging system (Resend, Twilio, and LeadConnector).
• Scheduling, accounting, and document tools.

We also disclose information when the law requires it, or to protect our rights, our clients, or someone’s safety.

When we work on behalf of a client

Part of what we do is run messaging and follow-up systems for other businesses. If you contacted one of those businesses and received a text or an email through a system we operate, that business is the one you have a relationship with, and its own privacy policy governs. In that situation we act as a service provider to that business and use your information only to do the work for them.

How long we keep it

We keep inquiries and messages for as long as they are useful to respond to you, and records of consent and opt-outs for as long as the law requires us to be able to show them. Client engagement records are kept for the life of the engagement plus the period our accounting and legal obligations require. Server logs roll off automatically.

Your choices

• Texts: reply STOP to any message.
• Emails: use the unsubscribe link in any follow-up email, or reply and ask.
• Access, correction, or deletion: email info@reticulumsystems.com from the address we have on file and tell us what you want. We will confirm your identity, then act on it within thirty days unless a legal obligation requires us to keep a record.

Security

We use encrypted connections for the site and for the systems that hold your information, restrict access to the people who need it, and keep credentials out of shared documents. No system is perfectly secure, and we will tell you if a breach affects your information.

Children

Our services are for businesses. We do not knowingly collect information from anyone under 18, and we will delete it if we learn we have.

Changes

When this policy changes, the effective date at the top changes with it. If a change affects how we use information you already gave us, we will tell you before it takes effect.
